The eCommerce Scaling Secrets team is looking for an Executive Assistant. Our Executive Assistants are essential team members who hold everything together – you will participate in wide-ranging, confidential, and strategic tasks and take our company to the next level. We are looking for candidates with a natural passion for learning, who enjoy taking on new challenges and projects, and who excel at being mindful of details. This role can be based in Miami, FL.

About Ecommerce Scaling Secrets

Ecommerce Scaling Secrets is an e-commerce group that connects 6-7-8 figure eCommerce entrepreneurs. We connect for networking, collective troubleshooting, and sharing resources/training that scale businesses 10X. Currently, we are the fastest growing eCommerce training company in the world.


Administrative and personal assistance includes:


    • Setting up calls and meetings
    • Maintaining schedule/calendar
    • Keeping up and following through with client communication
    • Drafting outreach emails and language
    • Constant communication with the Executive
    • Taking notes during calls and meetings
    • Coordinating company wide meetings
    • Sending out emails and notices for general staff announcement
    • Bookkeeping with daily reports
    • Facilitate communication and correspondence of new business prospects
    • Compiling monthly expense forms
    • Booking travel
    • Registration for conferences
    • Printing and scanning documents, mailings, and office supply purchasing
    • This job entails facilitating coordination across all departments in the agency; great interpersonal skills are required



    • Coordinating brainstorms (sending out research, selecting people for meetings, taking notes on ideas)
    • Assisting in writing copy for decks, RFPs, scripts, case studies, and more.
    • Working with the Creative team to create decks with a strong focus on ideas and visuals


All potential candidates must have:


    • Bachelor’s degree in Marketing, Business, Communications a plus
    • 2-3 years of relevant experience supporting Executive-level staff
    • Strong creative talent and problem-solving skills
    • Be able to balance high-priority, long-term projects with short-term, immediate deadlines
    • The ability to anticipate needs
    • Excellent oral, communication skills, and attention to detail critical for this role
    • Ability to work independently and with a team in a fast-paced, rapidly-changing entrepreneurial environment
    • Attention to detail, ability to multitask and prioritize and strong organizational skills required
    • Knowledgeable about principles and practices of organization, planning and records management
    • Confidence and skill handling clients in person and on the phone
    • Excellent proficiency with MS Excel, Word, PowerPoint, Google Drive (Calendar, Docs, Sheets, Slides, etc)
    • High level of confidentiality and professionalism
    • Strong written and oral communication skills
    • Strong knowledge of various social media networks
    • Previous experience in the entertainment industry is a plus
